Everyone who is listed on the conference programme and who wishes to attend the conference needs to register and pay in full before 1 June 2015. However, before starting the registration process, please read the information below. If you have any questions, please contact ngm2015....at....tlu.ee for advice.
Each booking should be for one participant, plus any accompanying guest(s) directly related to the delegate. The Accompanying Guest fee category may only be used where a booking is made in one of the main fee categories ('Full', 'Student, retired, or unwaged'). Children are welcome to attend with their parent(s) the reception at the Seaplane Harbour and mid-conference tours at no extra cost. Reduced fees for attending part of the conference (in Tallinn or in Tartu) are offered. There are excellent public transport connections between Tallinn and Tartu (travel time about two-and-a-half hours), buses depart from Tallinn bus station for Tartu frequently (several in any hour); for trains see Elron webpage.
The conference dinner will be a standing buffet dinner taking place on the evening of Thursday 18 June 2015. The dinner cost (EUR 30) includes wine on arrival and with dinner. Special diets can be catered for. There is space in the booking form to add notes to the organisers with any special requests (dietary, access or otherwise) or to request further information.
Please select one mid-conference field trip per person booked. If your accompanying guest will attend a different field trip to you, please make a note in the space allowed under each attendee’s booking to specify which field trip they will attend. Children have to be accompanied by their parents.
Post-conference field trips are optional. Please select one trip per person booked, for a maximum of two places on one trip. The East-Estonia and Setomaa field trips are EUR 100 per person, the Saaremaa tour EUR 160 per person. The fee covers accommodation in single rooms with breakfast at spa hotels, museum tickets, transport costs and local food tasting. The use of the spas is included in the price of accommodation.
Spaces on mid-conference and post-conference field trips are allocated on a first-come-first-served basis, early booking is advised. Places should be booked at the same time as your conference registration. Places booked on post-conference field trips are non-refundable, except in extreme circumstances at the discretion of the conference organisers. A minimum level of participation is needed for each field trip to go ahead. If this is not achieved, attendees will be notified and refunded. Itineraries are provisional; it may be necessary to alter aspects of the itinerary due to unforeseen circumstances, closures and inclement weather.
Accommodation in Tallinn and Tartu can be booked at registration at reduced conference price. The hotels in Tallinn are all located at a walking distance from Tallinn University but there is a wide choice of other options available (for instance check http://www.tallinnhotels.ee). June is, however, a very busy time in Estonia and early booking is recommended. In Tartu, the choice is limited and the hotels are quickly filled up and therefore we recommend to book when registering for the conference. The conference hotels will be booked on first-come first-served basis and held until 1 May 2015.
If you have special accessibility or dietary requirements, please contact the conference organisers to discuss before booking. The conference organisers strongly recommend that you purchase your own travel insurance for the duration of your trip.

Letters of invitation for travel visa applications
Visa support letters may only be requested once a conference participant has paid the registration fee in full and provided full contact details. The visa support letter is not an official invitation to enter the EU or the Schengen area. Conference participants are expected to organise and pay for all their travel expenses.
The secretariat will send you a confirmation/invoice of your registration and bookings within two weeks.
The registration is considered confirmed and definite after the full payment is received.
Cancellations will incur a 50 EUR administration fee. No refunds for cancellations made after 1 June 2015 can be given.
No refunds for accommodation cancellations made after 1 May 2015 can be given.
