Online Learning Agreement (OLA)

Students going on exchange starting from the Spring semester 2021 within the Erasmus+ Programme have to fill in the OLA (online learning agreement) form in SoleMove.

OLA is a study agreement signed by the student, Tallinn University and the host university. The Learning Agreement contains courses that the student will be studying at the host university during their studies abroad. The document has to be signed before the mobility period. The OLA is approved by the students Erasmus+ departmental coordinator at Tallinn University.

The very minimum that the student needs to obtain at the host university during their long-term exchange studies is 1 ECTS (in order to not have to pay back the scholarship), but it is recommended to get at least 15–30 ECTS during one semester to avoid the risk of losing one’s full-time student status. The minimum requirement of credits for short-term exchange studies is 3 ECTS. 

The duly signed agreement has to be sent to:

  • in case long-term exchange studies to the international studies specialist at outgoing@tlu.ee before signing the scholarship agreement.
  • in case short-term exchange studies to the senior specialist for international studies at erasmus@tlu.ee before signing the scholarship agreement.

Changes to the listed courses can be made during one month after the studies at the host university have started. It is crucial to keep in mind that all changes have to be agreed in writing, i.e. changes to Online Learning Agreement have to be made by filling out the "During the mobility part" of your Online Learning Agreement, and the signatures from your Erasmus departmental coordinator/Study Programme administrator, the hosting university, and yourself have to be collected again. The duly signed agreement has to be sent:

  • in case long-term exchange studies to the international studies specialist at outgoing@tlu.ee before signing the scholarship agreement.
  • in case short-term exchange studies to the senior specialist for international studies at erasmus@tlu.ee before signing the scholarship agreement.

How OLA works?

  1. The student can start filling in the OLA here. Tallinn University students can login to the system using their Tallinn University credentials.
  2. The student needs to open their application through the pencil icon. The possibility to add a Learning Agreement can be found under the Acceptance menu. Once the Learning Agreement has been created, it is possible to access the agreement through the menu on the left.
  3. The student needs to fill in the required information. If information about the host university is required, the student should contact the host university for relevant information.
  4. The student has to also add information about the courses he/she will be studying at the host university abroad and the groups of courses in the study plan into which these courses will be transferred at Tallinn University. Both parts of the study programme, i.e. tables A and B, must be filled in and the number of credits in both tables must match.
  5. The student will sign the Learning Agreement online (by means of a mouse or a touchpad) and will send the document for approval. The student’s departmental coordinator will either approve the document by his/her signature, or give back with comments. Finally, the host university will sign the Learning Agreement online and the document will be complete.
  6. The student can download the Learning Agreement as PDF from his/her profile (in any stage of the process). The duly signed PDF must be sent:
  • in case long-term exchange studies to the international studies specialist at outgoing@tlu.ee before signing the scholarship agreement.
  • in case short-term exchange studies to the senior specialist for international studies at erasmus@tlu.ee before signing the scholarship agreement.

For the students going to the UK and partner countries

Learning Agreement for Studies is a form where 3 parties  - the student, the host university and home university - agree on the courses and duration of the mobility.

NB! Learning Agreement has to be signed before the beginning of exchange studies and it is a prerequisite for scholarship contract and grant payment. Scanned signatures are accepted on the Learning Agreement, so the document can be sent by e-mail.

Before the Mobility 
Study cycle - mark if you're a BA, MA or PhD student
Field of Education - you can search for the fields and codes here. If you face difficulties in finding the area then please contact TU Senior Specialist for International Studies. 
Planned period of the mobility - it should be as precise as possible as the Erasmus grant will be calculated based on that. These dates will be checked by the home university after the end of exchange studies abroad.
Table A. Courses to be taken at the host university
Table B. Here you should mark down these Tallinn University (TU) courses which will be replaced by the courses taken at the host university. 

NB! If some of the courses will not be transferred by replacing specific courses, you have to indicate that other courses will be transferred as "Free elective courses".
NB! In any case, both tables should be first discussed through and agreed with student's Study Programme Administrator at TU. This way it will be ensured that the courses passed at the host university will be counted as integral parts to fulfilling student's Study Programme at Tallinn University.

Commitment. For the preliminary Learning Agreement, signatures are to be gathered from (1) the student and (2) TLU Erasmus Departmental Coordinator. After successful applying, signature from (3) responsible person at the hosting university is also needed.

Tables A2 and B2. To be filled in if you need to change your initial Learning Agreement. 
Fill in only Table A2 (with the updated courses at the host university) if at the end of your exchange studies you plan to transfer these courses taken abroad to your TLU Study Programme as free electives.
Fill in both the Tables A2 and B2 (with the updated courses at the host university, and their equivalents at TLU) if at the end of your exchange studies you plan to transfer the courses taken abroad to TU Study Programme as courses substituting concrete compulsory/specialization subjects. Or fill in both tables also in case you plan to bring back the courses taken abroad to your TU Study Programme both as the compulsory/specialization courses and as free electives.
Commitment. Signatures are to be gathered from (1) the student, (2) TLU Erasmus Departmental Coordinator, (3) responsible person at the hosting university.
When duly signed, the Learning Agreement should also be sent to TLU Senior Specialist for International Studies by e-mail (erasmus@tlu.ee).
 
After the Mobility
Table C. This part is to be sent to the student and TU Senior Specialist for International Studies by the host university at the end of the exchange studies. This part confirms the actual beginning and end dates of the exchange studies' period, as well as the passed courses, received credits and grades.
NB! Host universities choose themselves whether they issue a separate Transcript of Records and a Confirmation Letter (with the beginning and end dates of exchange-studies), or use this last part of the Learning Agreement: After the Mobility (Table C). If they opt for issuing a separate Transcript of Records, yet they don't have a special form for Confirmation Letter, you can find the relevant form here. 
In either case, TU Senior Specialist for International Studies should receive the last "After the Mobility" part with Table C, or Transcript of Records and Confirmation Letter combined by e-mail. 
Table D. This part stays unfilled. Tallinn University's equivalent to this is the Credit Transfer Application in the Study Information System (ÕIS), which have to be done by the student him-/herself once back in Estonia and Tallinn University.
